This policy applies to our website (sociallyja.com), our systems (BookedIn, BackIn, QuickQuote), and any other services we provide. 1. Who This Policy Covers
This policy addresses two groups of people:
- Business Clients — Jamaican businesses that purchase or subscribe to our systems and services.
- End Customers — the customers of our business clients, whose information may pass through our systems (for example, someone booking an appointment through BookedIn or scanning a BackIn QR code).
Where the distinction matters, we say so clearly below.
2. Information We Collect
2.1 Information You Give Us Directly. When you contact us, request a demo, or purchase a service, we may collect:
- Your name and the name of your business
- Your phone number, WhatsApp number, and email address
- Your business location and type of business
- Information needed to configure your system, such as services offered, pricing, staff names, and operating hours
2.2 Information Collected Through Our Systems. When our systems are running for your business, they may collect and store on your behalf:
- BookedIn — end customer names, phone numbers, appointment times, and booking history
- BackIn — end customer phone numbers submitted in exchange for a coupon or reward, along with visit dates and reward redemption records
- QuickQuote — client names, contact details, invoice line items, amounts, and payment status
2.3 Information Collected Automatically. When you visit our website, we may automatically collect standard technical information such as your browser type, device type, general location (city or parish level), pages visited, and how long you spent on the site.
2.4 Payment Information. We do not store credit card or bank account numbers on our servers. Payments are processed through third-party payment providers who handle that information under their own security standards.
3. How We Use Your Information
We use the information we collect to:
- Set up, operate, and maintain the systems you have purchased
- Send automated messages, booking confirmations, appointment reminders, and loyalty offers on your behalf
- Respond to your questions and provide customer support
- Send you invoices and process payments

We do not use end customer data for our own marketing purposes. End customer information collected through your systems is used solely to operate those systems for your business.
4. Who Owns the Data
4.1 Your Client Data Belongs to You. All end customer information collected through our systems on behalf of your business — names, phone numbers, booking history, invoice records — belongs to you, not to SociallyJA. We act as a processor of that data on your instructions.
4.2 You Are the Data Controller. As the business collecting information from your own customers, you are responsible for informing them what you collect and why, and for obtaining any consent required by law before collecting their personal information.
4.3 We Provide the Tools. Where our systems collect information from your customers, we will include appropriate consent language (for example, on a BackIn QR code landing page) so that customers understand they are sharing their number with your business and may receive messages from you.
5. How We Share Information
We do not sell your personal information or your customers' personal information. We do not rent, trade, or distribute it for advertising purposes. We share information only in these limited circumstances:
- Service Providers — with trusted third parties who help us operate our systems, such as hosting providers, messaging platforms, and payment processors.
- With Your Instruction — when you ask us to connect your system to another tool or share data with someone.
- Legal Requirements — when required by Jamaican law, court order, or a valid request from a law enforcement authority.
- Business Transfer — if SociallyJA is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We would notify you before this happens.
6. Messaging and Communications
6.1 Messages to You. We may contact you by WhatsApp, phone, or email about your account, support requests, invoices, and service updates. You may opt out of promotional messages at any time by telling us; we will still send essential account and billing communications.
6.2 Messages to Your Customers. Automated messages sent through BackIn or BookedIn are sent on your behalf and identify your business, not SociallyJA. Every marketing message includes a simple way for the recipient to opt out.
6.3 Your Responsibility. You agree not to use our systems to send unsolicited bulk messages, misleading content, or messages to people who have asked not to be contacted.
7. How We Protect Information
We take reasonable technical and organizational measures to protect the information in our care, including encrypted connections, access controls limiting who on our team can view client data, and secure hosting providers.
No system is completely secure. While we work hard to protect your information, we cannot guarantee absolute security. If a data breach occurs that affects your information, we will notify you within seventy-two (72) hours of becoming aware of it.
8. How Long We Keep Information
8.1 We retain your account information and system data for as long as your subscription is active.
8.2 After you cancel, you may request a copy of your client data within thirty (30) days. After that period, we may delete your data from our active systems.
8.3 We may retain limited records — such as invoices and payment history — for longer where required for legal, accounting, or tax purposes.
9. Your Rights and Choices
You have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — ask us to correct information that is inaccurate or incomplete
- Deletion — ask us to delete your personal information, subject to any legal obligations we have to retain it
- Export — request a copy of your client data in a usable format
- Withdraw Consent — opt out of promotional communications at any time

10. Cookies and Website Tracking
